Summary:

Often our customers asks if ServiceBox produces Service Agreements.  What service box really does, as per original programming, was to setup and execute or schedule work orders/events for service agreements that have already been agreed upon.  To help our customers we have discovered an innovative way to use ServiceBox to create a "Service Agreement".  


This innovative approach revolves around leveraging the "quote" feature to set up service agreements effectively. Rather than relying on predefined service agreements, we suggests that clients create quotes tailored to their unique needs. These quotes encompass various service frequencies, such as monthly, quarterly, biannual, and yearly, all within the same description.


Using Quotes to create "Service Agreements":

Make sure you have category in place that can be used for this purpose, if not, to set up the "Item Category" within Quote Settings:

  • Go to Settings
  • Click on Quotes tab
  • The first screen to appear should be the blue sub-heading one named "Settings
  • Add a new category at the bottom of the page - skroll down if needed to the bottom of the "Item Categories" with whatever name you would like.
  • Then click on green checkmark to save the category you have created.


 




Once you have the category in place, you can create a new quote:

  • Click on "New"
  • Click on "Quote"





  • You will see "Create New Quote" template screen (you can also come to the same screen by copying an existing quote with this feature activated)
  • Select  a Customer in the "Bill To" section
  • Select a "Job Site" if one pre-exists or "add" a new one if needed
  • Use "Quote Information" text box to enter the specific Service Agreement details (if copying a quote, the text you want will already be included here).
  • Click on "Save"


  • Go to Calculator tab
  • Go To the Category you would like to use to create Service Agreement
  • Type in Contract detail - noting if customer specific (semiannual, annual maintenance etc.)
  • Update "Quantity" to update the rate



  • Click on the "Print Option" button at the top of the screen, to the right of the qutoe number.

 


  • Update the Quote label to "Service Agreement"
  • Click on Print to preview the "Service Agreement" you have created



  • Following "Service Agreement" will open up in a new window.
  • Review the agreement



  • You can now email this "Service Agreement" to the customer (designing a distinct email template dedicated to service agreements is recommended)




  • Once the quote is approved, you to convert the approved quote into reoccurring work by clicking on the "Create Recurring Work" link
