Summary 

Ever need to send out different kinds of emails to customers for quotes, work orders and invoices.  You can now send out email templates through our new feature called 'Alternative Email Template'.  Each email template can contain organization-specific information, with your own logos and corporate body content.


There are two steps to configure these new email templates in your ServiceBox site.  1) you will configure the different sections inside of the Settings screen (will need to create templates for each section) 2) you will choose a template when you are sending emails.  You can preview the email template and edit it before sending.  


Now, instead of having to rewrite an entire default email from scratch, you get to create your own email templates whether it's a Work order, Quote or Invoice. This will give consistency in your branding leading to better overall customer experience. 


Now, let's see how can you set up templates within ServiceBox : 


Configure 'Alternative Email Template' in Settings

ServiceBox provides this ability for Work Order, Quote and Invoice so that's where you will have to go to set up alternative templates. I will explain for one of them and you may follow same steps to set up your templates for others.


  1. Go to your settings tab > Quotes> Email Setup - As you navigate to this page, the template you can see is your 'Default Email Template' (If your already a customer within ServiceBox chances are you have already set it up and filled in your information and are using this template to forward your emails. If your are New customer within ServiceBox, we suggest to set up your 'Default Email Template' on this page) 
  2. Click on 'Alternative Email Templates' Button.


  3. It will appear blank because this is where we are going to set up our templates. To add templates click on 'Add Template'  
  4. As you click on 'Add Template' - This is where you will fill up your information, name your template and your Body text and system will retain that information. 
  5. After you done adding your templates , it will look somewhat like this. You can always edit your template by clicking on pencil icon or delete it by clicking on delete icon. 

How to use the email templates in Quotes

You may have number of quotes/invoices to forward your clients, all you have to do is categorize your quotes as per your company needs. 


As, you can see in image I have created three templates for my company and named them as 

  1. Quote For Work Requested 
  2. Quote For Work Completed 
  3. Quote For Review

Now, all you have to do is go to your Quotes > Edit Quote>Email>Click on 'Select Email Template' and select the template from the list and it will auto populate that information in your default template. 


For example: I selected 'Quote For Review' from the list and that's it my work is done all I have to do is hit 'Send Email' button.


Thus, Email templates will shorten the time it takes to send emails and reduces the likelihood of human error.
