Understanding Data Import Services
Data import refers to the process of transferring information from external sources into a system or software application for various purposes such as analysis, storage, or manipulation. This involves extracting, transforming, and loading data from different formats or repositories into a central location to facilitate data-driven processes like analytics and integration. ServiceBox Provides many options for self services importing data into ServiceBox through accounting connectors or through data import through spreadsheets.

We offer the capability to import client data through Excel or CSV files. We can assist in importing several datasets, including:

  • Customer Data
  • Jobsites linked to Customers
  • Historical Work Orders with associated Customer and Jobsite data
  • Inventory Items
  • Non-Inventory Items
  • Unit Import

We also provide a service that allows customer to work with our team to import their data through excel or csv files.  Our team will evaluate your data and provide a quote for this services.  Once approved we will perform the data import.

What's Needed for the Data Import Process?

Yes, We need files in excel format or csv format to evaluate the data and understand the complexity. Don't worry about duplicates, as Service Box automatically eliminates them. Additionally, all files undergo a thorough processing including data de duplication, data analysis, data corrections and data cleansing before integration into Service Box. Here's what we need:

  • Customer File: Contains information such as Customer Name, Display Name, Address, Phone, Email etc.
  • Jobsite File: Provides data related to Jobsites linked to Customers, including Customer name, linked jobsites and associated Jobsite details.  It is important that the job site and the customer can be connected.
  • Work Order Data File: Includes historical Work Orders and their related data.
  • Inventory Files: Contains information about products, quantity, and prices for inventory import.
  • Non-Inventory File: Consists of details about items used as services. ServiceBox considers these items as Quote Items. it consists of data related to Product details.
  • Unit Export File: Contains data regarding technicians, problems encountered, and equipment used on Jobsites. data in this files includes Jobsite Display Name, Customer Display Name, Technician Name, Description, Location, Make, Model, Serial Number, Item For Replacement.

Customizing Columns in Service Box

If there are columns in the Customer sheet that are not available in ServiceBox, we can create custom columns to accommodate specific client needs. For instance, if a client requires a "Previous Work Order #" column, we can create a custom column labeled "Historical WO#" and import the relevant data accordingly.

Important Note: It's essential for clients to specify all desired custom columns before initiating the data import process. This ensures seamless integration and accurate representation of data within ServiceBox

How Does the Data Import Process Work?

  • Provide all files to your ServiceBox representative related to data import. These files can vary depending on the client's business requirements, previous software, accounting software, etc.  We recommend all files be either excel files or csv files.
  • We send all the files to our database experts who analyze the data and its complexity
  • Based on the analysis, our team calculates the time and effort required for the data import process and creates a quote.
  • If the quote is satisfactory please approve the quote so we can continue the import process.
  • Once approved, the data import process commences.
