Getting Started with Work Orders

Firstly, ensure you have your work order open with all the necessary details filled in. This will typically include the job description, client information, and any other relevant details to the task at hand.


Adding Time Entries

If the work has already commenced, you may have existing time entries. To add new time, follow these steps:


  • Navigate to the 'Time and Materials' section of the work order.



  • Click on 'Check In' and 'Check Out'.
  • Once you check out, a pop-up will appear. Here, you can set the status to 'Scheduled' or another appropriate status.
  • Add a note detailing the work done, such as "Completed installation."
  • Optionally, you can categorize the work by adding a maintenance Note, which will create a time sheet note for the employee.



Entering Specific Time Values

You can enter specific time values for different types of work or workers, such as apprentices. Ensure that the person entering the time is either assigned to the work order or has administrative privileges to adjust time entries.


To enter the time:

  • select the user
  • enter the time
  • Add Notes by clicking on the three dots
  • click on the green checkmark to check it in.

 



Adjusting Time Entries

If you need to adjust time entries, simply:

  • Click on the Edit button for time entry you wish to adjust.
  • Enter the correct number of hours and adjust the date if necessary.
  • Save your changes to update the work order.


 


Reviewing Time Sheets

After entering and adjusting time on the work order, you can review the corresponding time sheets for employees:

  • Navigate to the employee's time sheet.



  • You will see all the time entries linked to the work order.
  • Click on any entry to view detailed labor notes.




Making Adjustments in Time Sheets

As an administrator, you can make adjustments directly in the time sheet:

  • Click on Edit button



  • Edit the time entry as needed.
  • Save the changes, which will reflect back in the work order's 'Time and Materials' section.
