Summary

We have made significant improvements to the attachments tab through ServiceBox.  These improvements will add to the already existing functionality that has been in ServiceBox and some additional functionality.  With this addition you will now be able to view related items within the Attachments tab.  What a user is able to view is dependent on the user role and the permissions that they have.  So as long as they have access in their role they will be able to manage attachments in the respective areas of ServiceBox.


What are Attachments?

This is a good question to start explaining this functionality.  Inside of ServiceBox we define attachment as an image or document that is related to a specific entity (Customer, Job Site, Quote, Work Order, Invoice).  You can use the Attachments area to upload documents, pdfs, images and videos.  To include a link to Dropbox for a shared folder.  As a new feature in attachments, we can include Links to web pages (or other documents) as part of this current functionality.

Note- for some areas of ServiceBox you can use attachments and display into the pdf printout that the customer receives from Quotes, Work Orders and Invoices.


Functionality in All Attachment Tabs

There is common functionality that will be inside of all of the Attachment Tabs. 

  • Upload a new file and provide a description of the document.
  • Connect to a Dropbox account and link to a file directly from Dropbox.
  • Attach a link and provide a description.
  • Edit existing attachments
  • View all attachments for the specific entity
  • View attachments for related entities


Customer

In the customer screen the user will be able to:

  • Add in New Attachments and connect them to the Customer
  • Edit existing attachments for all related items
  • View/ edit all attachments from related job sites
  • View/ edit all attachments from related quotes
  • View / edit all attachments from related work orders
  • View / edit all attachments from related invoices
  • View / edit all attachments from related units


Job Site

When opening an existing job site the user will be able to:

  • Add in New Attachments and connect them to the job site
  • Edit existing attachments for job site
  • View/ edit all attachments from related quotes
  • View / edit all attachments from related work orders
  • View / edit all attachments from related invoices
  • View / edit all attachments from related units


Quote

When opening attachments in a quote the user will be able to:

  • Add in New Attachments and connect them to the Quote
  • Edit existing attachments for quotes
  • View / edit all attachments from related work orders
  • View / edit all attachments from related invoices


Work Order

When opening an existing work order the user will be able to:

  • Add in New Attachments and connect them to the work order
  • Edit existing attachments for work order
  • View/ edit all attachments from related quotes
  • View / edit all attachments from related invoices

Invoice

When opening an existing invoice the user will be able to:

  • Add in New Attachments and connect them to the invoice
  • Edit existing attachments for invoice
  • View/ edit all attachments from related quotes
  • View / edit all attachments from related work orders


Unit

When opening an existing unit the user will be able to:

  • Add in a new attachment for the unit
  • Edit an existing attachment for the unit
