Summary


The "features" subsection within the plan tab offers an extensive list of customizable options that allow you to tailor your ServiceBox experience to align with your business requirements.  This document provides an overview of all the features available within the Plan tab of your ServiceBox settings, offering a concise explanation of each feature and how they integrate into the overall configuration of your ServiceBox. 



Plan Tab: Features


The Features subsection displays all the Tenant Information features that can be enabled in your ServiceBox by checking the corresponding boxes. Selecting specific features may add or remove configuration settings in other tabs of your ServiceBox settings. By default, we have pre-selected features based on the most commonly used options among our users. However, we highly encourage you to customize your ServiceBox settings to tailor them to the unique requirements of your business. 


To incorporate a feature into your ServiceBox configuration, simply check the box next to the desired feature and click the "Save" button at the bottom-left corner of the screen.  this action will activate your selected feature within ServiceBox, allowing you to utilize its functionality.  The screenshot below provides an example of the features subsection, followed by detailed explanations of each customizable feature.  








General Features

  • General Check-Ins: 
    • A visualization of which employees are checked in and checked out at any point in time. 
  • Expenses: 
    • Allows you to include out-of-pocket expenses incurred by your technician so that they can be reimbursed accordingly.  
  • To-Do Alerts: 
    • With this feature, you can set up email or mobile alerts to notify assigned ServiceBox users about pending tasks or "To Do" items.
  • Price Books:
    • The Price Books feature allows you to define specific pricing for different customers. For example, you can set up discount pricing for certain customers to accommodate specific agreements or arrangements..
  • Internal Only Attachments:
    • This feature allows you to restrict access to certain documents, making them accessible only to your internal staff. It ensures that specific attachments are not sent to customers but remain restricted within your organization.  
  • Scheduled Events:
    • This feature enables you to add special events to your scheduler. For instance, if an employee is on sick leave or if there are any other notable events, you can display them on your schedule for better visibility and planning. 
  • Inventory:
    • With this feature, you can keep track of the location of your parts or inventory in specific locations.  it also helps to remind you when your inventory levels are running low.  
  • Add a note when emailing Quote, Work Order, Vendor Order:
    • This feature allows you to maintain a record in your ServiceBox notes, detailing the date and time when emails related to specific Quotes, Work Orders, or Invoices are sent to customers.  
  • Invoicing:
    • Enabling this feature allows you to create invoices directly in ServiceBox from a Work Order, making it convenient to generate and send invoices to your customers.
  • GPS Tracking:
    • The GPS tracking feature provides administrators with real-time information on the whereabouts of employees.  It allows for efficient analysis and enables you to determine the closest employee to a particular location or situation.  
  • Signatures:
    • With this feature you can include customer and employee signatures on your Work Orders, Quote, and Invoices, ensuring acknowledgment of important documents. 
  • Scheduler Postal Code Search:
    • This feature allows you to search for timeslots and Work Orders by postal code, providing an efficient way to manage scheduling based on geographic location. 
  • Enter GPS for Job Sites:
    • When a proper street address is unavailable for a Job Site, this feature allows you to manually input the GPS coordinates (latitude and longitude) to accurately identify the location. 
  • Enter Display Name for Customers and Job Sites:
    • This feature provides an additional field where you can input customized names for Customers and Job Sites
  • Use last name first for customer display name:
    • Enabling this feature allows you to format your customer name to align with your other records (i.e.. accounting records), displaying the last name first if desired
  • Add buttons above Table (Mobile):
    • This feature positions buttons at the top of your ServiceBox mobile application, making it more convenient for technicians to perform tasks such as adding a new line item without scrolling through the entire list.
  • Add buttons below Table (Mobile):
    • This feature positions buttons at the bottom of your ServiceBox mobile application.
  • Show Unit Display Fields on Checklist:
    • Enabling this feature allows for the inclusion of custom display fields from your Unit Tab onto the checklist print.
      For example, if you have a checklist linked to a unit or a piece of equipment the print of that checklist would display the details of the units such as Make, Model, and Serial No. etc.  
  • On hold Customers: 
    • This feature will allow the user to mark a customer as 'On Hold'. When the feature is activated, depending on security a customer marked as 'On Hold' will not be available to add to a quote or work order, or a warning will show. 
  • Purchasing (Vendor Orders):
    • Allows you to add vendors and create vendor orders right from within the ServiceBox. It is designed to facilitate the procurement process by managing vendor orders and tracking purchase-related activities.
  • Service Reminders:
    • When activated the "Service Reminders" section allows you to schedule an automated email to be sent to your customers prior to a service date. Simply input the number of months in advance of the service date, your name, email, subject, and email text, and ServiceBox will send this reminder to your customers.  


Accounting Features

  • QuickBooks Online:
    • Integrates with your QuickBooks Online accounting software.
      Note: Please check off this feature if you are using QuickBooks Online. 


Timesheet Features

  • Timesheet Item Notes:
    • Allows your technicians to include additional notes on item types in their individual timesheets. 
  • Overtime Types: 
    • Includes overtime types like "overtime" and "double time" in your Timesheet Tab.


Work Order Features

  • Work Order Alerts:
    • This feature allows you to send email or mobile alerts to assigned and scheduled users, ensuring timely notification regarding Work Orders.
  • Auto Save Work Order:
    • Enabling this feature automatically saves your Work Order, ensuring that no progress or changes are lost in case of interruptions or system issues. 
  • Job Costing:
    • The job costing feature provides visibility into the profitability of each job, allowing you to track and analyze the financial performance associated with your work Orders.
  • Recurring Work:
    • If you have recurring work within a contract or agreement, this feature simplifies the process by automatically creating Work Orders based on the defined schedules of such recurring tasks.  For instance, you can schedule Work Orders to be generated every 6 months for specific services. 
  • Materials on Recurring Work:
    • With this feature, you can include the materials required for recurring Work Orders without manually adding them each time.  It streamlines the process by automatically including the necessary materials based on the recurring Work order setup.
  • Work Order Check-Ins:
    • Enabling this feature allows employees to check in and check out from a Work Order, automatically tracking the hours they spend on the job. This eliminates the need for manual calculations and provides accurate time tracking. ServiceBox administrators can view all the hours under the "Events" tab.
  • Work Order Materials:
    • This feature adds a table for materials to the Work Order - Time and Materials Tab. By default, it displays Item, Quantity, Date information. If desired, you can enable the “Show Materials Cost” option to include unit cost and markup detail. 
  • Show Materials Cost:
    • Enabling this feature displays the unit cost and markup information for material on your Work Orders, providing transparency and better cost management.
  • Work Order Purchase Orders:
    • This feature adds a Table for Purchase Orders into the Work Order - Time and Materials Tab, allowing you to manage procurement and track purchase-related activities efficiently. 
  • Work Order Labour Notes:
    • If selected, technicians can add labor notes to their Work Order when checking out, providing details about tasks performed and completed during the job. 
  • Day Before Customer Reminders for Work Orders:
    • This feature automates the process of sending reminders to customers one day before the scheduled date of a Work Order. It ensures that customers are notified in advance, reducing the chances of missed appointments or miscommunications. 
  • Auto-Generate Purchase Order Numbers Work Orders:
    • Enabling this feature allows ServiceBox to generate and assign purchase order numbers automatically for you. 
  • Hide closed Work Orders from the scheduler:
    • This feature removes closed Work Orders from the scheduler view, displaying only open Work Orders. It helps declutter the scheduler and provides a clear overview of ongoing tasks.
  • Show Job Site City on the scheduler:
    • Enabling this feature displays the city information for each Job Site, providing useful context when managing multiple job sites in different cities. 
  • Show Job Site postal/zip code on the scheduler:
    • This feature includes the postal/ZIP code of each Job Site on the scheduler, assisting dispatchers to efficiently assign technicians to specific locations.
  • Service Charges:
    • This feature will allow you to configure custom service charges for different purposes.  you can create multiple types of service charges and utilize them within Work Orders using service charge codes.


Quote/Invoice Features

  • Quote Templates:
    • This feature provides pre-populated templates for recurring types of services, saving time and effort when generating Quotes. 
  • Discounts:
    • Enabling this feature adds the ability to include discounts on your invoices, providing flexibility in pricing and accommodating special arrangements. 
  • Payments:
    • This feature allows you to enter payments directly into invoices, facilitating efficient and accurate tracking of customer payments. 
  • ServiceBox Payments:
    • Enabling this feature integrates a payment option within the ServiceBox system, allowing customers to make payments conveniently through the system.
  • Handpoint Device
    • This feature will allow you to take payments using the Handpoint device. 
  • Stripe:
    • Enabling this feature allows seamless payment processing through our Stripe payment system, ensuring secure and convenient transactions for your customers. 
  • Add a button to remove zero-quantity items from the quote:
    • When this feature is active, any Quote containing items with a quantity of zero will display a "clear items with zero quantity" button in the top right corner. Clicking this button will remove all line items with zero quantities. 
  • Auto Save Quote:
    • With this feature enabled, your Quotes are automatically saved in real time, eliminating the risk of losing any progress or changes made during the Quote creation process.  
  • Auto Save Invoice:
    • With this feature enabled, your Invoices are automatically saved in real time, eliminating the risk of losing any progress or changes made during the Invoice creation process.  

Scheduler Features

  • Refresh scheduler on timer (Experimental):
    • This feature automatically refreshes your schedule every 30 seconds by default, providing you with a real-time view of your data. If this feature is not selected, you will have to manually refresh your schedule to see the most up-to-date data.  
  • Show check-in/out indicator on the scheduler (Experimental):
    • When this feature is enabled, a visual symbol is displayed on your scheduler, indicating whether a technician is currently checked in or checked out.
