Summary

The Tenant tab is where all details related to the customer are saved, including information regarding the company, location, logo, Job Sites, Work Orders, Quotes, colour schemes, and contract expiry warnings. 


Tenant Tab: Settings 


As shown in the following screenshot, the first section in the Tenant tab is settings. This is where you can input your specific company information, including logo, name, address, email and website. This information will be shown in your Quotes, Work Orders, and Invoices. Simply input this information, click on the "Save" button at the bottom of the screen, and your information will be integrated with the features of ServiceBox.


It is important to include a company logo in order to personalize ServiceBox to your company. We recommend a logo size of 320x240 pixels, and both .jpg and .png images are compatible. 


Please note: To optimize your ServiceBox features, you can also customize your timezone, preferred currency, and the final month of your fiscal year (for accounting purposes).


Below your company information, you can also customize the following features:


  • Create Job Site for New Customer:
    • When you add a new customer profile in your ServiceBox, you will include the customer's address. Checking this box will create the first Job Site for that customer, using the address included on the customer's profile.
  • Display Country in Printouts:
    • For company's operating in more than one country, checking this box will include the country on all company printouts.
  • Geo-Search Threshold:
    • When searching for technicians closest to a specific location, you will input the postal code, and ServiceBox will search which technicians are closest to a specific location. For example, if the Geo-Search Threshold is 2 kilometers, your search will show you all technicians within a 2-kilometer radius from the selected postal code. 
  • Next Work Order, Quote, and/or Purchase Order Numbers:
    • Each of these numbers are generated automatically, however, if you would like to have custom numbers for your Work Orders, quotes, and/or purchase orders, simply input those numbers in these fields.
  • Colour Scheme:
    • Allows you to customize the look of your ServiceBox site by choosing a colour scheme.
  • Contract Expiry Warning Period:
    • Here, you can select the number of days in advance that you are reminded about a contract's expiration date.


Tenant Tab: Email


When setting up your email for your ServiceBox, you have three main options, listed below. 


  1. Use our built-in email provider with no extra configuration: An "OK" option.
  2. Validate your email address as a sender: A better option.
  3. Configure DNS entries to authorize ServiceBox to send emails on behalf of your domain: The best option, but slightly more technical.

You can send your clients emails through the ServiceBox Server; however, if you would rather send emails through your company email server, input your email information in the Email subsection of the Tenant tab, shown in the screenshot below:


This subsection allows you to include the domain name of your company email. A subdomain is what appears after the "@" symbol in your email. For example, if your email is "john.smith@jobboxsoft.com", the domain name would be "jobboxsoft.com"


NOTE: Some companies choose not to send invoices to their customers through the ServiceBox email system. In this case, these companies download a PDF copy of their invoices, and send these invoices to their clients externally. To do this, select an Invoice from your Invoices on ServiceBox, and click on the printer icon at the top of the screen. This will allow you to save your invoice as a PDF, so you can send the invoice to your customer externally without using the ServiceBox email system. 


Note: Additional Tenant Tab Features

For some companies that have multiple offices and groups of employees, ServiceBox can include additional subsections to the Tenant Tab by request. The following subsections of Locations and User Groups can be activated by the ServiceBox support team. So, let us know if you'd like us to include the following features in your ServiceBox settings.

Tenant Tab: Locations

If any of our clients can have multiple locations and/or companies. We can activate the "Locations" subsection within the Tenant Tab. In this subsection, you may add additional locations related to your services. An example of this subsection is shown in the following screenshot. 



Once you include additional locations, you can then filter searches on the Work Order screen (accessed on the left-hand side of your ServiceBox screen). Simply select the location you would like to search from the dropdown menu at the top of the screen, as shown in the following screenshot.



You can then filter searches on the Scheduler screen (accessed on the top of your ServiceBox screen). Simply select the location you would like to search from the dropdown menu at the left-hand side of the screen, as shown in the following screenshot.


NOTE: This is an experimental feature, we will be adding additional features for multiple locations in our future updates of ServiceBox.



Tenant Tab: User Groups 

This subsection names the groups within your business. For example, if you have 20 different technicians in your business, you can group your technicians according to their positions. For example, you can group your technicians as plumbing, heating, electrical, and equipment, as shown in the following screenshot.
