Summary

This document will go over the process for your business to get a Merchant Account so that you can take credit card payments for invoices created inside of ServiceBox.

Enable ServiceBox Payments

The first step to begin to take Payments through ServiceBox is to go into your Settings and enable ServiceBox Payments. To do this go to Username -> Settings -> Plan - Features.  You will need to have both the Payments option as well as the ServiceBox Payments option selected as you see in this screen shot below.  Once both are checked then click on the Ok Button.




Confirming ServiceBox Payments is on

Once you enable ServiceBox payments you can confirm that it is now turned on by going to Settings -> Invoices -> Payments.  If you have not applied for a Merchant Account before you will see a button that says "Apply for ServiceBox PaymentsMerchant Account".  We will go over what is required to apply in the following sections.



Information Required to Apply for a Merchant Account

In order to apply for a Merchant Account we will require some information about your company, owners and your bank account details.


Here is a list of documents you should have ready in order to complete your application:


1. Company Details

  • Legal Entity Name
  • Federal Tax Number
  • Business Details - Address, Type, Online, etc

2. Business Owner Details

  • Must include information on all owners that have 25% ownership or more.
  • Each Owner will need to provide:  
    • Personal Details: Name, Address, Phone, Date of Birth, SIN
    • Drivers License Details
    • Current Address (and previous addresses up to 3 years)

3. Bank Account Details

  • Institution Id
  • Transit Number
  • Account Number


Once you have gathered this information you are ready to apply for your Merchant Account.  If at any point you realize you are missing some info you can save the application process and return later.


Applying for a Merchant Account

To complete the application you will return to Username -> Settings -> Invoices -> Payments.  Click on the button "Apply for Merchant Account".  The application process will begin with the following screen.



You'll be able to save your progress as you go so if you can't complete the process on your first try, you can come back into the application later to complete it.  


As you go through the process the fields that have a red indicator are the ones still required.  


Merchant Tab

This is the tab to enter in the details about what your merchant account will be called.



Merchant Name - Typically the Name of Your Company


Merchant Account

In this tab you'll add the details related to your organization.  



Merchant Account

Account Name - This is the name of the account. Required.

Legal Entity* - This is the legal name of your organization. Required.

Federal Tax Number* - This is the business number for your organization.

- In Canada, this is your CRA Business Number.

- In USA, this is your Tax Identification Number.

Business Type* - This is the type of business for your organization.  Required.

Business Description - A short description of your business and what services you provide.

Region - This will default based on your company location.

Currency - This will default based on your company location. 

Category* - This is the category of business.  For most ServiceBox customers this will be Trade Contractor.  Required.

Phone* - Company Phone Number (or representative phone number).  Required.

Email* - Company Email (or representative email).  Required.

Url - Company Web Page


Credit Account Info

Yearly Volume Range* - Volume of Credit Card transactions you expect to process in a given year.  Required.

Average Transaction Amount* - Approximate average transaction you process. Required.

Account Descriptor* - This is the name of the account as it will appear on a Credit Card statement. Required.

Account Descriptor Phone* - This is the main phone number that will correspond to this account.  Required.

Has Previously Processed Cards - Have you processed credit cards in the past?

Do You Wish to Apply for Visa and Mastercard Debit 


Trading Address

This section contains address info for company.  Address, City, Province/State, Postal Code.


Business Owner

In this section you will enter in the details for each of the partners in the business that own more then 25% of the business.  To add multiple owners you will click on the "Add Owner" button.


First Name* - First name of the owner. Required.

Middle Name - Middle name of the owner. Required.

Last Name* - Last name of the owner. Required.

Job Title* - Job title of the owner. Required.

Email - Email address of the owner.  Required.

Phone* - Phone number for the owner. Required.

Date of birth* - Date of birth of the owner.  Required.

SIN / SSN - Social Insurance Number / Social Security Number of the owner.

Percent Ownership - % of ownership of the company for the owner. 

Is Applicant - This is the person who is responsible for the application.  One of the owners has to be responsible for this application. 

Is Control Prong (USA Only) - The rule utilizes a two-pronged approach to defining a beneficial owner—an ownership prong and a control prong. Under the ownership prong, A beneficial owner is defined as each individual, if any, who, directly or indirectly, owns 25 percent or more of the equity interests of a legal entity customer.

Drivers License

Enter in the driver license detail for the owner the following fields are required:

License Number* - Driver License Number. Required.

Issue Date* - Drivers license issue date. Required.

Expiry Date* - Drivers license issue date.  Required.

Province / State* - Driver license issue province or state.  Required.



Current Address

This is the current address info for the owner.  If the owner has been at their current address less then three years, addresses accounting for three years must be added.


Years at Address* - Number of years at the current address. Required.

Street* - Street address. Required. 

City* - City. Required.

Country* - Country. Required.

Province/State* - Province / State.  Required.

Postal Code/Zip Code* - Postal Code / Zip Code.  Required.


To enter in a new address for this owner click on "Add Previous Address" and enter in the details for the new address.


To continue you must agree to the following statement.

*I represent and warrant that I have provided accurate information with respect to each Director/Trustee


Bank Account

In this tab you will put in the details related to your banking details.  This info is used to verify we can deposit transactions into your account.  


We require the following details for the bank account that you want all payment transactions to be deposited into:

Institution Id*

Transit Number*

Account Number*


You can find these details from a void check or by checking with your financial institution.


User

This is the user you will use to log into the back office for reports and account management.  These are the details to create your account as well as recovery questions to gain access to your account if you have any issues.


User Name* - This is the username to log into your merchant account.  This will be prefixed with servicebox-.  Required.

Email* - The email address of the main account for your merchant account.  Required.

Password* - The password for the account.  Required.

Confirm Password* - Confirm the password.  Required.

Recovery Question* - Choose a recovery question from the drop down.  Required.

Recovery Answer* - Answer for the recovery question.  Required.


Saving and Submitting your Application

If you want to save and complete the application later please click Save and you can resume the application at a later date.


Once you have completed all of the application you will enter the Submit button to submit the application.  You will receive a confirmation email once your application has been approved.  You can check the status of your application in Settings -> Invoices -> Payments, in the field: Application Status.




Validating Your Bank Account

There is another field called "Bank Account Validate". This is used to validate the bank account you entered during the application process with a micro deposit.
